Administrative Assistant, Guidance Department

Reports To:    Director of Guidance

  1. SUMMARY
    Help maintain the Guidance Department in an orderly fashion by assisting counselors and students with related problems in planning and adjustment.
  1. ESSENTIAL DUTIES AND RESPONSIBILITIES
    1. Maintain confidentiality
    2. Direct telephone calls from the main phone line in the Guidance Department.
    3. Handle students’ schedule changes, as well as, in-putting new schedules of students enrolling late.
    4. Responsible for mailing out students’ college applications, transcripts, recommendation letters, etc.
    5. Set up College Visits.
    6. Organize the College Fair.
    7. Post ACT/SAT test scores in students’ files on a continuing basis.
    8. Update students’ records in file cabinets during the summer.
    9. Record college acceptances/scholarships on a continuing basis.
    10. Assist with registration for incoming 9th graders, as well as, re-registration for current students 9th – 12th.
    11. Update the NCHS Counselor website pages on a continuing basis with scholarship information and other college related visits.
    12. Assist with College Planning Night.
    13. Update bulletin boards outside of Guidance Office.
    14. Communicate via email through Naviance to announce college visits, scholarship information, and other college related activities.
    15. Send updates to the front office to be included into THE BULLETIN.
    16. Adhere to a professional code of conduct.
  1. RESPONSIBILITIES FOR SUPERVISION OF OTHER EMPLOYEES
    The Administrative Assistant to the Guidance Department does not supervise other employee. The Administrative Assistant does direct the student aides in the counseling office responsibilities.

PROFESSIONAL EXPECTATIONS:
Represent the administration of Nolan Catholic High School faithfully, loyally, consistently and clearly in all communications with all NCHS constituents (including but not limited to faculty, staff, parents, students, alumni, donors and board members). Communicate with all NCHS constituents in a manner intended to strengthen those constituent’s confidence in the school’s mission and administration.

  1. Offer feedback regarding school problems/issues/concerns to NCHS administration in a constructive and professionally appropriate manner. Confine such expressions (including disagreement with or criticism of policy, program direction, or specific administrative decisions) to the administrative internal forum, i.e. closed door meetings with immediate supervisor and/or the president, principal, and/or assistant principals.
  2. Comply with all NCHS policies and procedure, the relevant policies and procedures of the Catholic Diocese of Fort Worth, and the diocesan code of conduct.
  3. Engage in relationships with immediate supervisor and other supervisors in a manner that is constructive, open to direction, and reflects commitment to an ethic of continuous improvement.
  4. Engage in self-development. Participate in school in-service programs for self-enrichment to maintain high quality of practice, and seek further professional growth through other training/educational opportunities.
  5. Act in a manner that is consistently courteous and respectful of students, parents of students, colleagues, and other constituents of NCHS.
  6. Discharge duties according to the highest standards of performance, ethical behavior and professional practices.
  7. Demonstrate sound judgment and independence of thought.
  8. Determine, prioritize, schedule and complete job assignments without supervision and within the time allocated.
  9. Protect confidentiality of information of all students and families, complying with all applicable legal requirements.
  10. Attend all mandatory meetings.
  11. Adapt to changes in work environment, program requirements, and workload.
  12. Present and maintain professional appearance and demeanor; adhere to NCHS dress code.
  13. Assume responsibility for personal attendance and punctuality.
  14. Assist in training and orientation of other employees as requested.

  1. Normal office conditions.
  2. Moderate to high noise levels with frequent student interruptions.
  3. Moderate to high work pace for extended periods of time.
  4. Supervisory duties may include the monitoring of students on campus.
  5. The employee may be exposed to communicable diseases.
  6. The employee may be exposed to emotional outbursts from students or their parents.
  7. Some off-campus work may be required to attend meetings.
  8. While performing the duties of this job, the employee is exposed to few environmental or hazardous conditions; however, the employee may occasionally be exposed to wet and/or humid conditions, fumes or airborne particles, and outside weather conditions.

G. QUALIFICATIONS
Exemplary written, oral and interpersonal communication skills.

  1. Proficiency with technology/programs used at NCHS
  2. Proficient at problem solving and team decision making.
  3. Proficiency in Spanish and English
  4. Such exceptions to the above that the principal finds acceptable.

Head Band Director
Nolan Catholic High School is seeking an energetic, motivated, and creative individual to grow and continue the success of the Nolan Catholic Viking Band program. This position includes the instruction of marching and concert bands as well as string orchestra, jazz band, and the orchestra for the spring musical.
Preference will be given to individuals with a bachelor’s degree in music and at least three years of successful teaching experience in a 3A+ band program.

Assistant Choir Director / Accompanist
Nolan Catholic High School is seeking an enthusiastic and dedicated individual to fill the role of Assistant Choir Director and Accompanist to the Nolan Catholic Viking Chorale. Duties include accompanying for all classes, competitions, and concerts and assisting with the instruction and administration of all choirs (curricular and extra-curricular), liturgy music, and music for the spring musical.
Preference will be given to individuals with a bachelor’s degree in music and successful experience accompanying choirs and teaching voice.
